It automatically calculates: Level 1–8 pay rates, annual wage progressions, Saturday/Sunday/Public Holiday penalty rates (150–275%), broken shift allowances, sleepover allowances, laundry allowances, casual loadings (25%), overtime after 38 hours/week, and annualised salary reconciliations. Every calculation logs the exact award clause applied. Pay runs generate a pre-payroll review report before export to Xero, MYOB, or any CSV-based payroll system.

Their provider adds them as staff in Rostery and gives them their sign-in. They download the app, sign in once and stay signed in between shifts.

Yes. Rostery is designed specifically for registered NDIS providers. It supports: PACE and legacy PRODA billing formats, all four NDIS funding types (agency, plan-managed, self-managed, and direct billing), NDIS Practice Standards documentation, incident reportability and Commission notification requirements, EVV for proof of service delivery, restrictive practices authorisation records, and worker screening clearance tracking. Our compliance team monitors NDIS Commission policy changes and updates the platform within 30 days of any regulatory change.

The app uses your location to check you in and out of shifts. On Android, if you allow it, it can also record trips in the background for visit verification and kilometres. On iPhone it uses location only while the app is in use.

Rostery reminds them after the shift ends and alerts the office if the shift is still open. A provider can also switch on an automatic clock-out, which closes the shift and sends it to the office to check before it is paid.

Families see upcoming visits and their care team. They see shift notes and documents only if the provider allows it in its family portal settings.

Most providers are live within 1–3 business days. Workers use the Rostery mobile app (iOS/Android) to clock in and out. The app captures GPS coordinates to within 5 metres at clock-in, clock-out, and every 15 minutes throughout the shift. Geofence alerts notify coordinators if a worker clocks in more than 200m from the participant's address. EVV audit reports export in the format required by the NDIS Commission with one click.

Yes. The Multi-Org feature lets you run multiple registered NDIS entities from one Rostery login. Each organisation has separate participant and staff pools, separate billing, and separate reporting — while the group owner can view consolidated dashboards across all entities. Yes. Rostery connects to Xero and pushes invoices as individual line items rather than a single total, so travel, transport and service lines appear separately in your accounts. A CSV export is also available for manual import, and MYOB is supported.

Yes. Rostery interprets the SCHADS Award on every plan, including the entry plan, applying weekend and public-holiday penalties, evening and night loadings, broken-shift and sleepover allowances, and overtime. Rates flow from the approved timesheet into pay and into the client invoice, so the same shift is never costed twice by hand.

Yes. Rostery ships with the official NDIS Support Catalogue for 2025-26 loaded as the default price book, and every plan includes it. Line items are matched to support item numbers automatically when an invoice is read, and anything priced above the cap is flagged before it can be claimed.

Every organisation data is isolated at the database level using PostgreSQL row-level security, forced on every table that carries an organisation id, so a query cannot return another provider records even if application code asks for them. Rostery own administrators cannot read tenant data, and impersonation is permanently disabled.

Most providers are running within days rather than weeks. Rostery includes a self-service migration tool that reads exports from other care systems, maps the columns with AI assistance, resolves participant and staff relationships, and lets you dry-run the whole import and undo it before committing.

Participant data is hosted in Australia and never moved offshore. It is encrypted with AES-256 at rest and TLS 1.2 or higher in transit, with older protocols refused. Particularly sensitive fields — tax file numbers, bank details and progress-note content — are encrypted at the application layer with a separate key, so they are not readable from the database alone. Every organisation is isolated at the database level using PostgreSQL row-level security with FORCE, so a query cannot return another provider's records even if application code asks for them. Audit logs are tamper-evident and retained, two-factor authentication is available on every account, and backups are encrypted, checksummed and verified by restoring them. We do not currently hold ISO 27001 or SOC 2 certification — our controls are mapped to those standards and we would rather say so than let a badge imply otherwise. Yes, through the Aged Care add-on at $349 per month. It covers Support at Home budgets, client contributions, statements, claiming, SIRS incident reporting and DEX reporting, running alongside NDIS service delivery in the same system rather than as a separate product.

Rostery charges a flat monthly plan price with a participant limit, not a per-user fee. Growth and Scale include unlimited staff accounts, so adding support workers never increases the bill. If you exceed your plan participant limit you can add capacity at $4 per participant per month rather than moving up a tier.

Yes. Rostery runs a remote MCP server so an organisation can connect Claude or ChatGPT to its own data and ask operational questions about rosters, participants, notes and incidents in plain language. Access covers operations only — money, payroll, timesheets and invoices are deliberately excluded.

Yes. Staff marked as contractors are paid at flat day-type rates for weekday, Saturday, Sunday and public-holiday work rather than through SCHADS award interpretation, while the client is still charged from the NDIS price book at the normal rate. Superannuation is applied only where the contractor falls under ATO section 12(3).

Rostery imports participants, staff, shifts, notes and funding from spreadsheet or CSV exports produced by other NDIS care systems, including ShiftCare, Brevity and Lumary. Column mapping is suggested automatically, and every import can be dry-run and reversed.

Yes, and Rostery is particularly strong for SIL. Specific SIL features: house-level rostering, overnight shift management with sleepover allowance calculation, shared client profiles for group homes, eMAR medication management (critical for SIL), SIL-specific NDIS report formats, active overnight monitoring alerts, and participant-to-worker ratio warnings when staffing drops below plan requirements.

Rostery tracks provider travel and in-shift transport kilometres separately, because the NDIS claims them under different support items. Rates follow the vehicle: own car, company vehicle, or a modified wheelchair-accessible vehicle at actual running cost. Kilometres captured on a shift roll onto the timesheet, are approved with it, and become their own invoice line.

Yes. Rostery produces the NDIS bulk payment request file from approved invoices, validating each line against the price book and the participant remaining budget first, and records every claim result. Payments can be reconciled from a remittance file or recorded by hand when the file cannot be read.

Yes. Multi-factor authentication is available on every plan, and sessions are revoked immediately when a password changes rather than lasting until they expire. Administrators can also require a second factor before a payment batch is released.

You own your data — always. On cancellation, you can export all data (clients, staff, shifts, billing, incidents, care plans, documents) in standard CSV and PDF formats. We retain your data for 90 days post-cancellation to give you time to complete any outstanding NDIS claims or audits, then securely delete everything. We will never hold your data hostage or charge an export fee.
