Where these rules come from
The prices are the maximum amounts in the NDIS Pricing Schedule 2026-27, in force from 24 September 2026 under the NDIS (Pricing Arrangements) Determination 2026. The Schedule sets maximum amounts only. It does not restate the cancellation rules.
The cancellation rules here (the notice periods, up to 100% of the agreed fee and the conditions) come from the NDIS Pricing Arrangements and Price Limits 2025-26 v1.1, which the NDIA’s pricing page still lists as its current claiming guidance. The NDIA has said it will “shortly publish updated pricing and claiming guidance documents”. Check this page against them when they appear.
When an NDIS cancellation can be charged
A cancellation can be charged to the participant’s plan when it is short notice, the support item allows it, and three things are true: your service agreement sets out your cancellation terms, you could not find other billable work for the worker, and you still have to pay the worker for the time (or you are a sole trader or partnership).
The two notice periods
- 7 days typically applies to support worker supports, and to some others such as Support Coordination Level 1 and psychosocial recovery coaching.
- 2 clear business days typically applies to other supports, such as therapy, nursing and Support Coordination Levels 2 and 3.
The PAPL states the period against each support item, and this calculator picks it for you. Your own policy can be kinder to the participant: you can give a shorter period or waive the fee.
How much
Up to 100% of the agreed fee, never more than the price limit for NDIA-managed and plan-managed participants. Claim it on the same item with the Cancellation option, or claim type CANC and a reason code in a bulk upload. Check any item in the NDIS Price Guide. Questions people ask
What counts as a short notice cancellation under the NDIS?
Under the NDIS Pricing Arrangements and Price Limits 2025-26, it is less than 7 days’ notice for supports with the 7 day period (typically support worker supports), or less than 2 clear business days’ notice for supports with the 2 clear business day period (typically other supports). A no show also counts: the participant does not show up within a reasonable time, or is not at the agreed place when the provider is travelling to deliver the support.
How much can I charge for a short notice cancellation?
Up to 100% of the agreed fee for the support, subject to the price limits and the terms of your service agreement. You can only claim if you could not find other billable work for the worker and, unless you are a sole trader or partnership, you must pay the worker for the time. You can also waive the fee, or offer better notice terms.
What is a clear business day?
The PAPL does not define it beyond its examples, which do not count a Monday public holiday. This calculator counts the whole weekdays between the day notice was given and the day of the support, leaving out both of those days, weekends and public holidays. It counts 7 days the same way, because the PAPL’s 7 day example treats notice given at 10 am on the Tuesday before a 10 am Tuesday support as short notice.
Is there a limit on how many cancellations I can claim?
No. The 2025-26 PAPL says there is no hard limit on the number of short notice cancellations or no shows. Providers have a duty of care, though, and the NDIA monitors cancellation claims and may contact a provider whose participant has an unusual number.
How do I claim a cancellation?
Use the support item you would have claimed if the support had gone ahead, with the "Cancellation" option. In a bulk upload that is claim type CANC with a cancellation reason: NSDH, NSDF, NSDT or NSDO. From 2026-27, therapy and early childhood cancellations have their own _CA items, priced at the direct service price; the NDIA has not yet published the claim type to use with them.
What if one participant cancels a group support?
If you cannot fill their place and the other conditions are met, you can bill the participant who cancelled at the rate they would have paid. Everyone else in the group is billed as though all participants attended.
