Pacing coordination hours

Support coordination is funded as a dollar amount, but coordinators work in hours. Dividing what is left in the budget by the hourly rate gives the hours available; dividing those by the weeks to plan end gives the steady weekly pace. The calculator uses the 2026-27 price limit for each level, straight from the NDIA’s Support Catalogue.

Plan for the real pattern

Even pacing is a starting point. Coordination is often heavier at the start of a plan, while supports are set up, and again before a plan reassessment, when reports are written. If you expect that, keep hours in reserve for those weeks rather than spending them evenly. Remember that non-face-to-face time and provider travel are claimed from the same budget.

Rostery’s support coordination module records billable time against each participant’s budget as case notes are written.

Questions people ask

What are the three levels of support coordination?

The NDIS funds Level 1: Support Connection, which helps a participant understand their plan and connect with supports; Level 2: Coordination of Supports, which builds the participant’s confidence and skills to direct their life; and Level 3: Specialist Support Coordination, a higher level for a more complex situation. Each level is its own support item with its own price limit.

Can I charge more than the price limit?

Not for NDIA-managed or plan-managed funding: the Pricing Schedule sets the maximum amount that can be claimed per hour for each item. You can agree a lower rate with the participant, which this calculator lets you enter, and the lower rate makes the budget last more hours.

Does time on emails, calls and travel come out of the same hours?

For these items the Support Catalogue allows non-face-to-face supports, provider travel and short-notice cancellations to be claimed (and NDIA-requested reports for the coordination levels). They are claimed against the same item, so they come out of the same budget as face-to-face time. Plan for them in the hours you pace.

Which price does the calculator use for recovery coaching?

The weekday daytime price limit, item 07_101_0106_6_3. Psychosocial recovery coaching has higher limits for evenings, nights, weekends and public holidays, so if some hours fall in those bands the budget covers fewer hours than shown.

Why do remote areas show a higher rate?

The Pricing Schedule sets higher maximum amounts where the support is delivered in a Modified Monash Model 6 (Remote) or 7 (Very Remote) area, or a town the NDIA has reclassified as remote. The location of the support decides it, not the participant’s home address.
