Rostery and Employment Hero

Rostery sends your staff and their approved timesheets to Employment Hero, ready for your pay run. New staff arrive with their personal, employment and pay details filled in, and every timesheet carries the shift it came from.

Staff

Timesheets › Employment Hero payroll › Staff lists your staff against Employment Hero employees. Add the missing ones and Rostery creates each employee file with:

  • name, email and date of birth;
  • gender, mobile and home address;
  • start date and employee code;
  • pay: the SCHADS classification for their Rostery pay group when your Employment Hero has the SCHADS award, otherwise their Rostery hourly rate.

Someone already in Employment Hero is linked, never added twice: by the saved link, any of their emails, or the same name and date of birth. Tax file number, bank and super stay with the employee’s own Employment Hero onboarding.

Timesheets

Timesheets › Employment Hero payroll shows each worker’s approved hours for the period you choose. Tick and send: each timesheet arrives in Employment Hero waiting for approval, with the start and finish, the break, the hours worked and the worker’s position.

  • The comment on each timesheet names the client (first name and initial), the service, the rostered times, kilometres and the Rostery reference, so the person approving it can see the shift.
  • A timesheet changed in Rostery is updated in Employment Hero, not duplicated.
  • A timesheet that is no longer approved is declined in Employment Hero.
  • A timesheet Employment Hero has already approved is never changed from Rostery, so approved pay cannot shift underneath you.
  • If your Employment Hero needs a position on every timesheet, Rostery uses each worker’s position, and can set up a position for your staff when there is none.

Setting it up

  1. In Employment Hero, open the Developer Portal and create an application for Rostery (API access needs an Employment Hero Platinum subscription or above).
  2. Add Rostery’s redirect address, shown in Rostery’s Employment Hero settings, and copy the client ID and secret.
  3. In Rostery, go to Settings › Integrations › Employment Hero, paste them and press Connect.
  4. Add your staff from Timesheets › Employment Hero payroll › Staff.
  5. Send approved timesheets each pay period, approve them in Employment Hero, then run your pay run.

What it does not do

  • Rostery does not run pay. Employment Hero works out pay from each employee’s award and pay settings, and payslips come from its pay run.
  • Nothing is sent automatically. You choose the period and the workers.
  • Tax file numbers, bank accounts and super are entered by the employee in Employment Hero.

Questions

Which Employment Hero plan do I need?

Employment Hero gives API access on its Platinum subscription and above.

Does Rostery send the SCHADS award to Employment Hero?

When Rostery adds an employee, it sets their pay to the SCHADS classification that matches their Rostery pay group, if your Employment Hero has the SCHADS award. Employment Hero then applies the award to their timesheets.

Will a timesheet be sent twice?

No. Rostery records the Employment Hero entry each timesheet became. Sending again sends only new or changed timesheets.

What if a timesheet changes after it was approved in Employment Hero?

Rostery leaves approved entries alone and tells you to update them in Employment Hero, so approved or paid hours never move without you knowing.

Where do payslips come from?

From your Employment Hero pay run. Rostery sends the hours; Employment Hero pays them.
